Short answer: Connect each person's mailbox and messaging accounts to the CRM, and keep every contact's email address and phone number on their client record. The CRM then matches each message to the client by the addresses on it and logs it there, with no copying or forwarding. Decide up front who can read each mailbox, and how messages from unknown senders should be handled.
Disclosure: I co-founded Teamo.
Why log client conversations in the CRM at all?
Because what was promised to a client is usually in an email or a WhatsApp chat. When those stay in personal inboxes and phones:
- A colleague covering for you can't see what was promised
- The delivery team doesn't know what the client asked for during the sale
- When someone leaves, their client history leaves with them
- WhatsApp chats about the project live on one person's phone
Logging by hand doesn't work for long: people forget to BCC the CRM, and nobody copies WhatsApp messages anywhere.
Step 1: Connect the accounts your team writes from
Connect each person's work email (Gmail or Outlook) and, where clients write to you there, WhatsApp and LinkedIn. Logging then happens for every message sent and received, not only the ones someone remembers to forward.
In Teamo, these accounts connect through the Inbox add-on, priced per connected account. When you connect an email account, Teamo imports the last 12 months of messages, so existing clients arrive with their history.
Step 2: How does the CRM know which client a message is from?
Matching is only as good as the contact data. The CRM can only link a message to a client if it knows an address or number on the message.
Keep one contact per person under each client, with their email address, their WhatsApp number and, if you message them there, their LinkedIn profile.
In Teamo, a conversation is linked to every record or activity whose Email, Phone or LinkedIn column holds the address of anyone on the thread (From, To or CC). Save phone numbers in international format (+44…) so WhatsApp messages match, and LinkedIn profiles as their linkedin.com/in/ URL. If contacts are rows under the client, their conversations show on those rows; to see them on the client record itself, add the main contact's email to the client.
Step 3: Decide who can read each mailbox
Not every message should be visible to the whole team. Agree on a rule before you connect accounts: client conversations visible to the team, personal or HR conversations not.
In Teamo, the owner of each connected account chooses who can read it: Only me, Everyone, or Specific people. Admins manage licenses and accounts but don't get to read messages because of that.
Step 4: Handle messages from unknown senders
New leads and new contacts at existing clients write from addresses the CRM doesn't know yet. Decide what happens to them:
- New lead: create a new client record from the message
- New person at an existing client: add them as a contact, so their next messages match
- Not client related: leave it unlinked
In Teamo, you can link a conversation to an existing record by hand, or let an automation create a record from the message, such as a new lead in your Leads module.
Step 5: Read and reply from the client record
Once messages are logged, work from the client, not from your inbox.
In Teamo, the client record's History shows every linked conversation, with filters for email, WhatsApp and LinkedIn, and you can write a new message from there. An automation can also act on messages, for example reminding the account manager when a client email has had no reply for two days. With credits, Amo can summarize a long thread or draft a reply (1 credit each). How do other CRMs handle WhatsApp?
Most CRMs log email, but WhatsApp usually sits behind a higher plan, a beta, a Meta Business setup or a paid connector. From each vendor's help pages on 30 October 2026:
| CRM | ||
|---|---|---|
| HubSpot | Connected Gmail or Outlook inbox, free on every plan | Built in with Marketing Hub or Service Hub Professional or Enterprise; needs a WhatsApp Business account and Meta Business Manager admin access. With Meta's coexistence feature the number can stay in the WhatsApp Business app |
| Pipedrive | Email sync from the Growth plan, linked by address | Built in from Growth, in beta and not yet on every account; history starts when you connect, and a number shared by several contacts stays unlinked |
| Zoho CRM | Gmail, Outlook or any IMAP inbox, from the Professional edition | Built in on paid editions; needs a verified Meta business and a number registered for the API |
| monday CRM | Gmail or Outlook through Emails & Activities | No documented built-in WhatsApp logging; its Auto-update CRM feature, in alpha, lists WhatsApp among the channels it reads. Today: marketplace apps, Zapier or Make.com |
| Copper | Gmail only; on sign-up it imports the last 90 days or 1,000 emails, whichever comes first, then keeps syncing | No built-in option; a third-party app logs messages to the contact's timeline |
| Teamo | Gmail or Outlook, with the last 12 months imported | Through the Inbox add-on, alongside LinkedIn, on the same client history |
FAQ
Can a CRM log WhatsApp messages automatically? Some can, natively or through an add-on; others need a third-party connector. In Teamo, WhatsApp is connected through the Inbox add-on, and messages are linked to a client when a number on the conversation matches a Phone column on a record.
How does a CRM know which client an email belongs to? By matching the sender's email address, or the phone number for WhatsApp, to a contact on a client record. That's why each contact's email and phone need to be on the client.
Can my whole team see my emails if I connect my inbox? Not necessarily. In Teamo, you choose who can read each connected account: only you, everyone, or specific people.
What happens to emails from people who aren't in the CRM? They stay unlinked until you link them to a record by hand, or until an automation creates a record from the message, for example a new lead.
