University departments

For university offices, from admissions and student recruitment to alumni and careers.

The inquiries, events and contacts around your student record system, shared by the whole office.

Every inquiry followed up, by program and entry term. From the recruitment fair to the application.

Inquiries from fairs, the website and email land on one list with the program, entry term and country. Each officer sees the ones they own, and when an inquirer has not heard back in a week, Teamo reminds them, so no prospective student is left waiting.

Open days and events, from sign-up to follow-up. Registrations come in through a form.

Each open day, fair or webinar has its date, venue and the people who signed up through a form on your page. After the event, Teamo emails attendees the next steps and gives each officer the list of who came, so the two weeks after an open day is spent talking to students, not merging spreadsheets.

Partners and employers, with every conversation. Who last spoke to them, and what was agreed.

Keep each partner school, employer and sponsor with its contacts, agreements and every email from anyone in the office. When a colleague is away, whoever picks up sees what was promised, and the agreement's renewal date comes with a reminder.

Alumni who said yes to helping. Mentors, speakers and donors, ready when you need them.

Keep the alumni who offered to mentor, speak at an event or host a placement, with what they offered and when they last helped. When a new cohort needs mentors, you start from a list of willing people, not from the whole alumni database.

Requests from colleagues, through one form. Events, prospectus copies, campus tours.

Academics and other offices send requests through a form instead of scattered emails. Each request lands with its date and details, moves from New to In progress to Done, and the person who asked can see where it stands.

Ask Amo

Ask about your work in plain words. Amo answers from your records.

Amo, Teamo’s assistant, only sees what the person asking is allowed to see. It can also build dashboards and automations, and waits for your yes before it does.

Questions university offices ask.

Does Teamo replace our student record system?

No. Teamo holds the work around it: inquiries, events, partners, alumni and requests that usually live in spreadsheets and inboxes. Official student records stay in your student record system, and the two can connect through Teamo’s API.

Can we collect open day and event registrations?

Yes. Share a form on a page for each event, and every registration arrives as a record with the person and their program of interest. After the event, Teamo can email attendees the next steps.

Can one office start on its own?

Yes. An admissions, careers or alumni team can start with its own setup and budget, without a central IT project, and other offices can join later with their own views and permissions.

Can different offices keep their data separate?

Yes. Views can be restricted to a team, so admissions, careers and alumni each see their own records, and fields such as personal details can be hidden by role. Every change is recorded in the history.

Can staff sign in with their university accounts?

Staff can sign in with Microsoft or Google accounts, or with email and multi-factor authentication. Teamo is hosted in the EU, in AWS Frankfurt, with encryption in transit and at rest.

Can Teamo help with consent for marketing emails?

Teamo gives you the building blocks: consent columns on each contact, a form that records consent when someone signs up, and reminders when it needs renewing. Your own policy decides the rules; Teamo makes them easy to follow.
