    Working with Columns

Columns define the information your team tracks in Teamo, from a record's Status to an activity's Due Date. This article explains where columns live, the available column types, the settings you can configure, and the limits at each level.

    Where columns live

Every module can contain data at up to three levels, and each level has its own independent set of columns.

    LevelWhat it describesExample columns
RecordThe main rows in a module, such as a project, deal, or clientStatus, Owner, Priority
ActivityIndividual tasks inside an activity groupAssignee, Due Date, Status
DetailSub-items nested under an activityNotes, Checklist Item, Time Spent

Activity groups themselves (the tabs that organize activities within a record, such as Design or Development) don't have their own columns. They only have a name, icon, and color.

Because each level has its own column set, a Record can have a Status column that is completely separate from an Activity Status column. They don't share configuration or values.

Activity and Detail columns are defined by Activity Group Templates. Each module can have up to 5 templates, each with its own Activity and Detail columns.

    Column limits

    LevelMaximum columns
    Record25
    Activity10
    Detail5

Archived columns don't count toward these limits.

    Connected columns

Linked Record, Lookup, and Rollup are Teamo's connected column types.

    • A Linked Record connects a record to one or more records in another module.
    • A Lookup displays information from records linked through a Linked Record column.
    • A Rollup aggregates values from activities or details beneath the current item. Unlike Linked Records and Lookups, Rollups don't require links between modules. Their source level is determined automatically.

See Linked Records, Lookups & Rollups for a detailed guide.

    Column settings

Every column includes the following settings:

    • Column Name: The label shown in the table header.
    • Type: Changing the type resets any type-specific settings to that column type's defaults.
    • Type Settings: The configuration options available for that specific column type.
    • Required: Requires a value before a record, activity, or detail can be saved.
    • Visible to: Controls whether Standard and Guest users can see the column. Leaving both enabled (the default) makes the column visible to everyone. Admins always see every column.
    • Order: Drag the column by its handle to change its position.

    Managing columns

Columns are managed from the module settings at the Record, Activity, or Detail level.

    You can:

    • Click Add Column to create a new column (disabled once the limit is reached).
    • Click a column to edit its name, type, settings, or visibility.
    • Drag the handle to reorder columns.
    • Add a column directly from the table using the + button at the end of the column headers.

    Archiving vs. deleting

Archive: Hides the column from active views while preserving all existing data. Archived columns don't count toward your column limit and can be restored at any time.

Delete: Permanently removes the column and all of its configuration. This action cannot be undone.

    FAQ

    Why is Add Column disabled?

You've reached the maximum number of columns for that level. Archive or delete an existing column to free up a slot.

Can I have more than five Activity Group Templates?

No. Each module can have up to 5 Activity Group Templates, each with its own independent Activity and Detail columns.

Will Guests see all of my columns?

No. Guests only see columns where Visible to includes Guest or where the visibility hasn't been restricted.

What happens to data in an archived column?

Nothing. Archiving only hides the column from active views. If you restore the column later, all of its data is still there.
