    Getting Started

    Introduction to Portals

A Portal is a branded space where you can share live data from your modules with people outside your organization, most commonly clients, partners, or vendors, without giving them a full Teamo account.

    Creating a portal

    Only Admins can create portals.

Go to Portals in the navigation, click Create Portal, and give it a name and description. You'll then land in the portal editor.

    Building your portal

The editor uses the same drag-and-resize canvas as dashboards. Click Add Widget to start building your portal.

Portals support the same widget types as dashboards: KPI, Table, Bar Chart, Pie Chart, Gantt, Workload, Calendar, and Text. These are configured exactly the same way as dashboard widgets (see Creating Your First Dashboard).

Portals also include three widgets designed specifically for external visitors.

    Enhanced Table

Displays records or activities in a table with optional collaboration features.

    You can enable:

    • Comments, allowing visitors to leave comments on individual rows.
    • Inline editing, allowing visitors to edit specific columns that you choose. Some field types, such as formulas and other calculated fields, cannot be made editable.

You can also enable Activity Group Only mode, which displays activities as a flat list without showing their parent record.

    Time Tracking

Displays logged time in either a detailed or summarized view.

Choose which modules to pull data from, configure filters such as assignee or billable time, choose which columns to display, and set a default date range.

Visitors can view time entries but cannot create or edit them.

    Form

Lets visitors submit information directly into your workspace.

Choose whether submissions create a new Record or Activity, select the destination module or activity group, then build the form by adding questions linked to your fields.

You can mark questions as required, choose which answer becomes the created record's title, customize the submit button, and edit the confirmation message shown after submission.

    What visitors can do

Visitor capabilities depend on the widget type.

    WidgetWhat visitors can do
Enhanced TableView data, leave comments (if enabled), and edit selected columns (if enabled)
    Time TrackingView only
FormCreate new records or activities through submissions
KPI, Table, Bar Chart, Pie Chart, Gantt, Workload, Calendar, TextView only

    Settings and branding

Open Settings to configure the portal's name, description, visibility, and visitor requirements.

    A portal can be:

    • Personal, visible only to you within Teamo.
    • Shared, visible to other members of your organization.

You can also choose whether visitors must enter their name before accessing the portal. If enabled, the same name is used when leaving comments or editing rows.

The Branding tab lets you customize your portal with your own logo, background, and accent color.

    Sharing your portal

Click Share to generate a public link.

Anyone with this link can access the portal without signing in or creating a Teamo account.

There is currently no password protection or invite-only access, so treat the link itself as the access control and only share it with people who should have access.

    Example use cases

    Client portal

Display a project timeline with a Gantt widget, an Enhanced Table of open tasks with comments enabled, and a KPI showing overall project completion.

    Partner portal

Display referral pipeline metrics with KPI and Bar Chart widgets, and include a Form that creates new referral records directly in your CRM.

    Vendor portal

Display logged hours using a Time Tracking widget, an Enhanced Table of purchase orders with inline editing enabled for the status column, and a Form for submitting invoices.
